Office of Academic and Administrative Information Systems

Since its creation in July, 2006, OAAIS has added two units: Academic Research Systems and Application Services. Academic Research Systems, directed by Michael Kamerick, is launching a Secure Data Environment service for investigators. Academic Research Systems is also developing an Integrated Data Repository to include clinical and life sciences data from UCSF and affiliates.

Application Services, directed by Jane Wong, is composed of the Systems Support group previously in the UCSF Controller’s Office combined with the application development group previously in Administrative Computing. Applications Services is responsible for administrative applications development and support. Administrative Computing, reconfigured and renamed Information Technology Services, is focused on data center operations, systems administration, database administration and enterprise middleware.

A new campus Data Center is being built in University property at 654 Minnesota Street, San Francisco. Office space will be occupied by June 2008. The current campus data center will relocate to Minnesota Street late in 2008, as will the School of Medicine data center (currently housed at Laurel Heights). Additional space at Minnesota Street will be developed as a general campus server/data hosting facility.

UCSF and AT&T are in the final stages of contract negotiations for the construction of UCSF’s Next Generation Metropolitan Area Network (NGMAN). NGMAN is based on Dense Wave Division Multiplexing (DWDM) and will replace UCSF’s current ATM/SONET network. Full implementation is expected by mid-2009.

Work on centralized identity management, directory, authentication and authorization services continues. The IBM TIM/TAM environment was successfully pilot-tested in September and plans for phased implementations for wireless, VPN and other services are underway. We are also in the process of completing a multi-year effort to consolidate campus Active Directory domains into three central domains (Campus, School of Medicine and Medical Center).

Administrative Systems

Effort Reporting: In April 2007 the campus rolled out the UC Effort Reporting System to 2,000 faculty and 400 administrators. The implementation went smoothly and three certification cycles, representing 14,000 effort reports, have been completed. We continue to share information and lessons learned with other UC campuses as part of the monthly Requirements Group meetings.

Time and Attendance/Vacation Leave Accrual: In September 2007 we began a project to implement online time reporting for the UCSF campus and an automated leave accrual process. The Medical Center already uses HBS technology for time reporting, and the campus will deploy the same technology for 14,000 campus employees. In the next few months we will assess the processes and technology and resolve a number of key strategic decisions around how best to deploy this system.

Procure to Pay (P2P): Work on the P2P project continues. Role workshops were conducted for departmental participants over the summer. We expect to go live in February 2008 with the first phase, which will be distributed on-line requisitioning with about 20 hosted catalogs and many vendor agreements in an internally hosted catalog.

Academic and Research Administration Systems

As reported in our last update, the UCSF Program Management Office (PMO) is expanding to provide strategic leadership and tactical guidance to the planning and implementation of academic administration information systems at UCSF. Initiatives include:

Academic Affairs: The PMO is working with the Academic Affairs Office on two very closely related projects still in their discovery phase. The Faculty PAF Project is focused on making the faulty payroll action process paperless. The Faculty Advancement Project’s goal is to enable the online generation of a faculty dossier coupled with document attachment functionality, and an automated workflow system.

Research Administration Systems (RAS): The PMO implemented RAS Phase I in 2006. A comprehensive assessment is now underway to evaluate the remaining research administration technology requirements in pre-award, compliance and post award. The objective is to build an integrated road map for RAS II and to begin implementation in the summer of 2008.

Academic & Instructional Computing

The Library’s Center for Instructional Technology is working with the professional schools to select a replacement for Web CT. Choices have been narrowed to Moodle and Sakai with a decision expected shortly. The Library will also roll out Confluence – an enterprise wiki - in September with an initial focus on academic programs.

The School of Medicine is building a new, technology-intensive clinical skills training center at our Mt. Zion campus and beginning work on the PRIME telemedicine program.
