Entourage 2004 Junk Email Protection
Junk email, or spam, is mail that has been sent to you regardless of whether you wish to receive it. Use Entourage's built-in junk email protection feature to help manage such messages. The junk email protection in Entourage uses Microsoft's SmartScreen technology to classify messages you receive as junk mail. Messages you receive that appear to be junk are assigned to the junk email category, moved to the junk email folder, and displayed in the color assigned to the junk category. In addition, pictures that are a part of messages labeled as junk email will not be downloaded.
Reminder: It is possible for non-junk messages to be classified as junk by mistake. Review the message in your junk email folder regularly to prevent these messages from being deleted. Taking the following precautions can ensure that message are not mistakeningly classified as junk email:
- Add senders to your Address Book. junk email protection never assigns the junk category to contacts in your Address Book.
- Add specific domains to the junk email protection safe domains tab. When you enable junk email protection, you can list domains that you trust. Messages from people with an email address that contains a "trusted" domain is never classified as junk.
- Use the Mailing List Manager to manage messages from a mailing list. Messages that are handled by a mailing list rule are never classified as junk.
Setting the Junk email Protection
- From the Tools menu, select Junk Email Protection.
- Choose the level of protection you want to apply to junk email.
- Selecting the Delete messages from the Junk email folder older
than option allows you to automatically delete messages classified as
junk email after a specified number of days. Enter the number of days you want
to retain junk email. Important: When using this option review
the contents of your Junk email folder frequently to avoid deleting messages
that have been mistakenly classified as junk.

- Click the Safe Domains tab and enter the domain name of
trusted domains to exempt messages that you receive from specific domains.
Messages from domains listed here will never be treated as junk mail.

About the Mailing List Manager
Mailing lists allow you to communicate with others on a specific subject and provide an excellent way of exchanging information and expertise with participants. If you use Junk email Protection, you should use the Mailing List Manager too ensure that your mailing list messages are not inadvertently flagged as junk email.
The Mailing List Manager allows you to set up a special rule for each list that you subscribe to. Also, the Mailing List Manager can store notes such as how to un-subscribe from the list, and keep track of important email addresses associated with the list.
Using the Mailing List Manager
- From the Tools menu, click on Mailing List
Manager.

- Click on New and enter the name and address of your mailing
list in their respective fields.

- Use the Advanced tab to set up additonal options to apply
to this list and to store additional email addresses that the rule applies to.

- Remove a rule from the Mailing List Manager by selecting
the rule and clicking Delete.

Adding/Removing a Message from the Junk Category
- To add a message to the Junk email category, select the message and click on
the Junk button in the Tool Bar.

- To remove a message from the Junk email category, select the message and
click on the Not Junk button on the Tool Bar
or from the Info Bar click, This is not junk mail.

Junk Email Protection Notes
- Each mail account has its own Junk email folder (this name may vary slightly for server-based folders).
- For Exchange accounts, Junk email Protection is run only on messages received in the Inbox folder.
- Messages added to the Junk category individually are automatically moved to the Junk email folder for that mail account.
- Exchange Server-side rules will run, but cannot be changed or created by using Entourage.
- You can also delete messages stored in the Junk email folder older than a specified number of days by pointing to Run Schedule on the Tools menu and clicking Empty Junk Email Folder.
- You can create only one mailing list rule for each mailing list address.
- Quickly create a mailing list rule by holding down the CONTROL key, clicking on a message from the mailing list you want to create the rule for, and then clicking on Create Mailing List Rule from the contextual menu.
