Advance Faculty Information System
The Office of the Vice Provost for Academic Affairs (VPAA) facilitates the recruitment, mentoring, and retention of diverse faculty of the highest-caliber. They provide leadership, training, and guidance in the development and implementation of policies and procedures relating to academic affairs with a goal of fostering innovative and collaborative approaches for education, research and health care at UCSF. In support of these goals and the ongoing activities of faculty at UCSF, AIS is working under the direction of VPAA to develop several projects. The first of these projects, Advance, is described here.

At UCSF, the process through which a faculty member’s career develops - from appointment to appraisal, and then from Assistant, to Associate, to Full Professor - is known as the appointment and advancement process. This process is currently paper-driven, and can take up to 18 months to complete. The delays in career advancement can be discouraging for faculty and detrimental to the overall mission of UCSF. Implementing an electronic process for development of advancement materials, as well as routing, review and approval of these materials, will standardize the process across the campus, enable VPAA to better manage the appointment and advancement process, and will shorten the time-line related to advancement review.
The Advance Project will deliver an electronic faculty advancement process in the following three phases:

Advance – Phase 1: The Development of FIS
With no centralized Human Resources system on campus, VPAA does not have access to a central repository of faculty profile data. A Faculty Information System (FIS) will be a key building block for Advance and for all AIS projects. (more)

Advance – Phase 2: An Electronic Process for Advancement
Materials
Phase 2 will enable VPAA to better manage the appointment and advancement process, and will shorten the time frame related to advancement review. (more)

Advance – Phase 3: Modification of the Personnel Action Form
(PAF)
The final step in the advancement process is the modification of the faculty member’s payroll record to reflect the appointment, merit, promotion, etc. Currently, executing the Personnel Action Form (PAF) is a manual process requiring complex calculations, various levels of review and approval, and manual data entry into the payroll system. Advance Phase 3 will facilitate this process, enabling faster turnaround with reduced data entry errors. (more)
