Telephone Features

Forward All Calls

Call Forward allows you to re-route incoming calls to another UCSF phone.
NOTE: If you do not have a Call Fwd button, see other instructions.
TO ACTIVATE FORWARDING

(Do NOT lift your handset.)
PRESS: Call Fwd
The diamond indicator next to your Call Fwd key flashes.
DIAL: 5 - digit phone number (where you want calls answered)

PRESS: Call Fwd
The diamond indicator next to the Call Fwd key is solid. All calls are forwarded.
TO CANCEL FORWARDING

(Do NOT lift your handset.)
PRESS: Call Fwd
The diamond indicator next to the Call Fwd key goes out. Forwarding is cancelled

Transfer a Call

Call Transfer allows you to transfer a call from your phone to any other phone on the UCSF system.

PRESS: Transfer
You hear three beeps followed by dial tone and the call is placed "on hold." The diamond indicator next to your Transfer key is solid and the diamond indicator next to your DN flashes.
DIAL: 5-digit phone number (to which to transfer the call)
Wait for the party to answer and you can announce the call privately (i.e., the original caller cannot hear you.) If you receive a busy signal or no answer, press Transfer twice to reconnect to the original call.
PRESS: Transfer
All parties are connected and you can Rls and hang up. Both diamond indicators go out.
NOTE: If you disconnect, the connection between the other two parties is also terminated unless one party is on a phone connected to the UCSF system. In the latter case, any continuing charges for long-distance calls are still billed to your account since you originated the call.

Three-Party Conference Call

Three Party Conference adds a third party to an existing call, allowing you and the other two parties to speak together in a three-way conference.

PRESS: Transfer
You hear three beeps followed by dial tone and the call is placed "on hold." The diamond indicator next to your Transfer key is solid and the diamond indicator next to your DN flashes.
DIAL: phone number (of the third party for the conference)
Wait for the party to answer and you can announce the call privately (i.e., the original caller cannot hear you.) If you receive a busy signal or no answer, press Transfer twice to reconnect to the original call.
PRESS: Transfer
All parties are connected to the conference call. The diamond indicator next to your Transfer key goes out and the diamond indicator next to your DN is solid.

C.O. Features
When enabled, C.O. Features allows the programmed features for the three buttons below the program key to function.

TO ENABLE THE C.O. FEATURES
Press PROGRAM
Press volume control button UP until "C.O. FEATURES" is shown on the display
Press HOLD
Press volume control button UP until “ENABLED” is shown on the display.
Press HOLD to save the setting.
Press PROGRAM or Rls to exit programming mode.

Conference Call

The Conference-Six feature enables you to establish a joint conference call between yourself and up to five other parties. Conferees can speak to and hear all the others involved in the conference, just as they would at a face-to-face meeting. Conferees may be located on or off campus either local or long distance, but the conference must be initiated from an on-campus telephone. Any charges for the calls connected to the conference are billed to your phone.

TO INITIATE A CONFERENCE CALL

Connecting to the first conferee
DIAL: phone number (of the first conferee)
After the conferee answers, you can connect to the next conferee.
If the first potential conferee did not answer the phone, or the line is busy, you can hang up and try again later or hang up and start the procedure again to connect to a different conferee.
Connecting to the next conferee

Ask the first conferee to wait.
PRESS: conference six button
You hear three beeps followed by dial tone. The diamond indicator next to your Directory Number button flashes and the diamond indicator next to your Conference-Six button is solid.
DIAL: phone number (of the next conferee)
After this conferee answers, you may talk privately (i.e., the first conferee cannot hear you.)
PRESS: conference six button
The diamond indicator next to your Directory Number button turns solid and the diamond indicator next to your Conference-Six button goes out. Conferees hear a brief ring to indicate that the conference call is active, but you do not hear this ring. You and both conferees are now connected.
In the case of a dialing error, busy signal, or no answer, press the Release (Rls) button and the Directory Number button next to the flashing diamond indicator to connect to the original conferee. You can then restart the procedure (Connecting to the next conferee).

When you are ready to add another conferee, repeat the "Connecting to the next conferee" procedure. Conferees already connected to the call can converse with each other while you are away. Each time you return (using your Conference-Six button) all conferees hear a brief ring to indicate that you have returned to the conference call. You do not hear this ring.

TO LEAVE OR END THE CONFERENCE

Any conferee (except you as the initiator) can leave the conference by hanging up. When a conferee hangs up, all remaining conferees hear a warning tone indicating that someone has left the conference.

When you hang up, the rest of the conferees are disconnected unless one of the conferees is on a campus telephone. Physical control of the conference is transferred to his/her phone. When more than one of the conferees is on campus, the physical control of the conference is transferred to the first of these conferees who joined the conference. Any continuing charges for toll calls are still billed to your phone.

NOTE: The conference-six feature requires use of one of several special lines on the campus telephone system. If all lines are in use when you attempt to initiate a six-way conference call, you hear a fast busy signal. Hang up and try again later.

Group Intercom

If your office has Group Intercom, you can dial an intercom code number to call another phone in your designated "group intercom group." An intercom code can be 1, 2 or 3 digits depending on the size of your Intercom group,

PRESS: I/C
You hear dial tone and the diamond indicator next to the I/C key is solid.
DIAL: assigned intercom code number (assigned to the phone you are calling)
Your call rings on the appropriate phone.

Last Number Redial

Last number redial allows you to automatically redial the last phone number dialed.
DIAL: # #
The last phone number dialed from your set is automatically redialed.

Message Waiting
Indicates when there are messages in your voice mailbox.

Pick up phone (which automatically selects the primary directory number).
Press Msg Wtg.
You will be automatically connected to voicemail.
Please note: only works when there is a message indicated.

Paging
Paging allows you to activate the speaker on all phones that are part of the paging group in order to make an announcement.

PRESS: I/C
You hear dial tone and the diamond indicator next to the I/C key is solid.
PRESS: # #
PRESS: I/C.
Make announcement.

Set Date and Time

(Meridian Speaker/Display Phones only)
Newer Meridian Speaker/Display telephones display the date and time. This procedure allows you to change the date/time settings.

TO CHANGE THE DATE AND TIME ON YOU SPEAKER/DISPLAY SET
Press PROGRAM
Press volume control button UP until "DATE AND TIME SET" is shown on the display
NOTE: Be sure to select "Set" NOT "Format".
Press HOLD
Enter the date using the format shown on the display.
Enter the current time based upon the 24 hour clock.
Press HOLD to save the new time and date settings.
Press PROGRAM or Rls to exit programming mode.

Speed Call

Speed Call allows you to dial frequently called phone numbers by entering a pre-programmed two-digit entry code.

TO PROGRAM A SPEED DIAL NUMBER
DIAL: 5 4
You hear three beeps followed by dial tone.
DIAL: two digit code + phone number + #
You hear two beeps and can hang up. The phone number is stored.
TO DIAL A PROGRAMMED NUMBER
DIAL: * + two digit code (associated with the phone number to dial)
The appropriate phone number is automatically dialed.
NOTE: A "two digit code" can be any numbers between 00 and 29. Programmed telephone numbers can be up to 24 digits.

Timer

When enabled, Timer allows you to see the duration of the call.

TO ENABLE THE TIMER
Press PROGRAM
Press volume control button UP until "TIMER" is shown on the display
Press HOLD
Press volume control button UP until “ENABLED” is shown on the display.
Press HOLD to save the setting.
Press PROGRAM or Rls to exit programming mode.

Volume Control

Volume Control allows you to adjust the volume of the ringing on a call, the handset during a call or the speakerphone during a call.

TO PROGRAM THE VOLUME OF THE RINGING
(Do NOT lift your handset.)
Ask a co-worker to call you. While the call is ringing, adjust the volume by depressing the increase or decrease volume below the dial pad. Once you have the desired volume, depress the increase and decrease buttons simultaneously to lock the setting.

TO PROGRAM THE VOLUME OF THE HANDSET
During a conversation with a caller, adjust the volume by depressing the increase or decrease volume below the dial pad. Once you have the desired volume, depress the increase and decrease buttons simultaneously to lock the setting.

TO PROGRAM THE VOLUME OF THE SPEAKERPHONE
During a conversation with a caller, adjust the volume by depressing the increase or decrease volume below the dial pad. Once you have the desired volume, depress the increase and decrease buttons simultaneously to lock the setting.
